Webinar Speaker Guidelines

To ensure a smooth, engaging, and high-quality webinar experience for all participants, speakers are requested to follow the guidelines below:

1. Before the Webinar

Prepare Your Content

  • Ensure your presentation is accurate, up-to-date, and relevant to the event theme.
  • Limit slides to key points—avoid heavy text and focus on clarity.
  • Include your name, affiliation, and title on the first slide.

Technical Readiness

  • Use a laptop/desktop for better stability (avoid mobile devices for presenting).
  • Test your microphone, camera, and internet connection in advance.
  • Install the required webinar platform/software (Zoom/Google Meet/etc.).
  • Keep backup copies of your slides and files.

Time Management

  • Adhere strictly to the allocated presentation time.
  • Practice your talk to maintain smooth flow and timing.
  • Submit your final presentation to organizers before the deadline, if required.

2. During the Webinar

Presentation Delivery

  • Join the webinar at least 15 minutes early for a quick technical check.
  • Keep your camera on (if applicable) for better engagement.
  • Speak clearly and at a moderate pace.
  • Avoid background noise—use a quiet environment and good-quality microphone.

Engaging the Audience

  • Use real examples, visuals, or short demonstrations where possible.
  • Invite questions; however, answer only during the designated Q&A session.
  • Avoid promoting products or services unless the event allows it.

Professionalism

  • Maintain respectful communication with participants and co-speakers.
  • Avoid sharing confidential or proprietary information.
  • Stick to scientifically accurate and verified content.

3. After the Webinar

Q&A and Interaction

  • Stay for the Q&A session unless prior arrangements are made.
  • Provide short and clear answers to participant queries.

Material Submission

  • Share your slide deck or supplementary materials if the organizer requests.
  • Submit any documents required for certification (if applicable).

Feedback

  • Complete any feedback or evaluation forms sent by the organizers.
  • Inform organizers if you are available for future webinars.

4. General Policies

  • Speakers must respect copyright and avoid plagiarism.
  • Content must be original, ethical, and follow academic integrity.
  • Last-minute presentation changes must be communicated to the organizers.
  • Scientific Alerts reserves the right to record, archive, and publish the webinar content for educational use.
